Department Administrator

  1. Assist department chair
    • Take minutes at meetings (faculty meeting, department leadership meeting, etc.)
    • Maintain the chair’s calendar
    • Review email and other correspondence
    • Assist with annual faculty stewardship reviews
  2. Assist faculty members as needed
  3. Assist class scheduler
    • Maintain course schedule spreadsheets
    • Proofread the class schedules after receiving them from the department scheduler
    • Enter the schedule into the university system, Coursedog
    • Work with the graduate coordinator to assign graduate student TAs and RAs.
    • Find evening school instructors if classes are not taught by graduate students
    • Manage add codes and grade changes. Grade roll liaison (ensure grades are submitted by the deadlines).
  4. Assist with Rank and Status procedures
    • Contact external reviewers to request letters and track their responses.
    • Help organize rank advancement portfolios and upload them to Box for review
    • Prepare and count ballots for rank advancement
  5. Assist with faculty hiring
    • Maintain files for job applicants
    • Prepare and count ballots for faculty hiring
    • Coordinate adjunct faculty hiring
  6. Make office assignments
    • Arrange for faculty and graduate student offices.
    • Schedule the visitor offices
  7. Update department webpage as needed

    Program Management

    1. Schedule and proctor Major Field Tests (MFT) for graduating seniors
    2. Support learning management systems, supervise student workers, manage add codes and grade changes, and maintain learning outcomes.
    3. Manage challenge exam requests
    4. Maintain the schedule for department rooms (203, 225, 292, 294, 297, and 301 TMCB)
    5. Process card-swipe clearances for department rooms (150, 225, 275, 297, and 301 TMCB) in addition to after-hours building access.
    6. Textbook coordinator
      • Enter textbooks onto the university Booklist system
      • Order textbooks and desk copies as needed
